"Are we even allowed to do this?" — using AI in the office, GDPR-compliant.

If you think of "artificial intelligence" as ChatGPT helping you draft emails, you've only seen the tip of the iceberg. The real strength of AI sits where day-to-day office work actually hurts: with the repetitive, time-consuming tasks no one likes doing but everyone has to do.

The good news: many of these tasks can be automated today with manageable effort — no major project, no five-figure budget, and yes, GDPR-compliant.

Where AI already helps concretely today

Get a handle on unstructured data

Sound familiar? Information arrives by email, as a PDF attachment, in different formats — and someone has to transfer it all manually into a spreadsheet or system. AI can read this unstructured data, understand it, and convert it automatically into structured formats. What used to take hours, an AI-assisted workflow handles in seconds.

Example: incoming invoices as PDFs are read automatically, the relevant data (invoice number, amount, due date) is extracted and recorded in a spreadsheet or directly in the accounting system.

Automate processes that today run by hand

Read support requests, match the right customer number, enter it into the CRM, enrich it with existing customer data — that's exactly the kind of task AI can take on reliably. Not as a "black box", but as an intelligent assistant in a clearly defined workflow.

Example: a support email is analysed automatically, the issue is categorised, the matching customer record is found in the CRM, and a pre-filled ticket is created. Your team only checks and adds — instead of typing everything in by hand.

Connect tools intelligently

Most companies already work with several tools: email, CRM, accounting, project management. AI can link these tools into intelligent workflows so that data lands automatically where it's needed. With platforms like n8n, such workflows can be assembled visually and adapted flexibly.

Make in-house knowledge accessible

Every organisation holds valuable knowledge in documents, wikis, emails, and the heads of individual employees. An AI-assisted knowledge base makes this knowledge searchable and answerable — like an internal expert who's read every document.

Example: new employees ask the internal chatbot: "How does our approval process work for purchase orders over €5,000?" — and get a well-grounded answer with a reference to the right document, instead of asking three colleagues.

Summarise and prepare documents

Long contracts, minutes, technical documentation — AI can extract key points, produce summaries, and even identify action items from meeting minutes. A quick win you'll feel right away.

Intelligent phone assistants

AI-based phone assistants can take incoming calls, answer standard questions, categorise issues, and route them to the right place — around the clock, no waiting queue.

"But what about data protection?"

That's the question we hear most often — and it's entirely valid. The answer: there are several proven ways today to use AI in a GDPR-compliant manner.

Use LLM providers based in Germany and the EU

It doesn't always have to be OpenAI or Google. Capable AI models are available that run in European data centres and meet the strict GDPR requirements:

Your data stays in the EU, and you can still use the full performance of modern AI.

Pseudonymisation: the smart approach

A particularly elegant approach: before data is sent to an AI model, personal information is automatically pseudonymised — replaced by placeholders (for example, "John Doe" becomes "PERSON_001"). The AI processes only the pseudonymised data. The placeholders are then replaced by the original data afterwards.

You get the full performance of the AI model, without personal data leaving the company.

Decouple development: high-end AI for development, GDPR-compliant model for production

We can develop and test solutions with the most capable AI models available — and then switch to a GDPR-compliant or even locally run model for production use. That way you benefit from the best quality during development, without compromise on data protection in operations.

Quick wins instead of a major project

We're convinced: starting with AI doesn't have to be a mammoth project. Often a single automated workflow is enough to save noticeable time and take pressure off the team. Our experience from many projects with .NET, Python, and n8n shows: the most effective AI solutions are often the simplest.
